Day-of Coordination

Pre-Event Logistics: What We Handle Before the Day

Venue Management

Vendor Coordination
A typical corporate gala involves 8–15 vendors: caterer, AV, lighting, stage builder, florist, photographer, videographer, emcee, entertainment, registration, transport, security. We own and manage every vendor relationship — from initial briefing through contract execution, progress payments, and final settlement. Every vendor gets the same production schedule and knows their responsibilities. No conflicting timelines, no gaps in accountability.
Guest Registration & Communications

Run Sheet & Production Schedule
A minute-by-minute run sheet is issued to all vendors, entertainers, and venue staff 1 week before the event. The final production meeting (typically 2–3 days out) walks every team lead through the schedule, contingency protocols, and escalation procedures. When event day arrives, every person on-site already knows their job.
Day-of Coordination: How We Run Event Day
On event day, our production team takes over the venue from the moment we enter for bump-in through final teardown. Here's what that looks like in practice.
Bump-In (4–6 Hours Before Doors Open)
Our crew arrives with full equipment. Stage build, AV rigging, lighting programming, décor install, registration setup, entertainment briefing. Each vendor team checks in with our stage manager on arrival and receives their specific tasking for the day. Every critical system is tested before guests arrive.
Sound Check & Technical Run-Through
All microphones, playback systems, LED content, presentation slides, and lighting scenes are tested and programmed. For events with performances (live bands, emcees, dancers), we run a full rehearsal or at minimum a technical check on stage. Walk-in music, programme music, and transition cues are loaded and cued for live playback.
Guest Arrival & Registration Management
Registration desks open 30–45 minutes before the event programme. Our team manages the check-in flow, name tag distribution, seating direction, and VIP reception. For events with 300+ guests, we deploy 2–4 registration staff plus a floating team to handle ad-hoc requests.
Live Production
The Event Director runs the production live from the show position — cueing all transitions, managing emcee timing, coordinating entertainment cues, and making real-time decisions on any deviations from the run sheet. Stage managers communicate via headset to all crew positions. Every cue in the run sheet is executed with precision.
Guest Management & Issue Resolution
A dedicated front-of-house team handles guest queries, dietary issues, accessibility needs, and any service concerns during the event. Problems are resolved quietly and quickly. Most guests never know anything went slightly off-script — because our team handled it before it escalated.
Bump-Out & Venue Clearance
Post-event teardown is managed by our crew with the same rigour as setup. Venue is cleared to the agreed state within the contracted window. All vendor equipment is accounted for. Any items requiring return (AV, props, branding) are coordinated for next-day pickup if required.
Post-Event Evaluation
Most event companies disappear after teardown. We consider the post-event phase a critical part of the service — both for our clients and for our own continuous improvement.
Attendance & Participation Reports
Within 3 business days of the event: final attendance figures, registration-to-attendance conversion rate, and (for events using GO Labs) engagement data from interactive activities, digital lucky draws, or live polling. These reports are useful for internal post-event communications and HR budget justification.
Vendor Settlement
We manage all vendor final payment processing, overtime billing reconciliation, and any post-event claims. You receive a single reconciled invoice — not 12 separate vendor invoices requiring your finance team to process.
Photo & Video Delivery
