How We Calculate Headcount

Usable Area

We start with the total venue sqm and subtract ~20% for stage, AV rigs, buffet lines, and circulation space.

Layout Density

Each seating style has different sqm per person: banquet rounds (1.8–2.2 sqm), theatre (0.8–1.0 sqm), cocktail (1.0–1.2 sqm).

Event Type Adjustment

Team building needs 2+ sqm per person for activity zones. Family days need open corridors and carnival stall spacing.

Comfort Buffer

We recommend 10–15% below the technical maximum so guests aren't packed in. Packed events feel bad; comfortable events get remembered.

How many people fit in a Singapore hotel ballroom?
A typical Singapore hotel ballroom (1,000–1,500 sqm) holds 500–1,000 pax theatre style, or 400–700 pax in banquet rounds. The Marina Bay Sands Grand Ballroom (3,600 sqm) — the largest in Southeast Asia — can seat 3,000 banquet or 6,000 theatre.
What sqm per person should I plan for?
Standard industry guidelines:
  • Theatre / Classroom: 0.8–1.0 sqm per person
  • Cocktail (standing): 1.0–1.2 sqm per person
  • Banquet rounds: 1.8–2.2 sqm per person
  • Team building activities: 2.0–3.0 sqm per person
  • Family day / carnival: 2.5–4.0 sqm per person
Always subtract 15–20% of gross sqm for staging, AV, and service areas.
Does outdoor space count differently?
Yes — outdoor venues (beaches, parks, lawns) require more space per person due to uneven ground, activity zones, shade tents, and F&B stations. Factor 3–5 sqm per person for outdoor family days and team building. Heat, rain, and wind also affect safe comfortable density.
How do I account for a stage or AV rig?
A typical stage (6m × 4m) takes 24 sqm. Add 3–5m of camera/audience clearance in front. LED walls and truss structures can take another 10–20 sqm. A full AV production setup typically eats 15–25% of a ballroom's floor area. Subtract this before running your headcount calculation.
