A seated dinner and dance for 400 needs roughly 600 sqm of usable floor space (tables, stage, dance floor, AV). A cocktail reception for the same headcount needs only 350-400 sqm. Get this wrong and you either have a cramped event or a room that feels empty.
Question 2: What’s the event purpose and vibe?
The venue should reinforce your event’s objective without you having to explain it.

Question 3: What’s your all-in budget per head?
Venue cost is typically 25-35% of total event budget. Here’s what different budget levels look like in Singapore:

Question 4: What are your non-negotiable logistics?
This is where experienced planners separate from first-timers. Ask:
- Loading dock access? If you need staging, LED screens, or heavy equipment, the venue needs a loading dock or goods lift. Some heritage venues and rooftops have neither — which means manual carry-up and 3x the setup time.
- Noise restrictions? Residential neighbours = sound curfew (usually 10pm-10:30pm). This kills D&D events that run past 11pm.
- Corkage and external vendor policies? Some hotels require you to use their in-house catering (at 2-3x market rate) and charge corkage for outside alcohol. Others are flexible. This can swing your budget by $20-40/pax.
- Column-free space? Pillars block sightlines to stage. Critical for awards ceremonies and any event with a main stage.
- Outdoor backup? For outdoor events, what’s the wet weather contingency? Is there a sheltered area or do you need a separate rain plan?

The Site Visit Checklist
Never book a venue without visiting it first. Photos lie — ceiling heights look taller, spaces look bigger, and that “natural light” might be a single window.
Bring this checklist:
- Measure actual usable floor space (not total area — subtract pillars, corridors, back-of-house)
- Check ceiling height (need minimum 3.5m for trussing and lighting rigs)
- Test acoustics — clap in an empty room. Echo = trouble for speeches
- Locate power outlets and check amperage (LED walls and sound systems need serious power)
- Inspect loading dock or goods entrance route
- Check mobile signal strength (affects live polling, registration, and guest WiFi)
- Ask about noise curfew and last-call time
- Confirm F&B policy — can you bring external caterers?
- Identify wet weather backup space
